Savance Satisfied Customer We were first introduced to Savance a few years ago when they contacted us about their quoting tool called OrderSavant. We had been looking for a solution to our quoting issues for quite awhile. We had a unique scenario where we needed to prepare quotes for commodities as well as large project quotes such as lighting. The biggest problem that we had was consistency and communications. If you did not do the quotation, your only option was to contact the person that prepared the quotation. Heaven forbid that person was on vacation or out with their laptop because you would be completely out of luck.

Then there was the dilemma of finding a quote that you had done for a customer. Some used Microsoft Word, some used Microsoft Excel, some marked up the requests with pen, and some just jotted down prices on an order pad. Trying to locate these when a customer called back to place the order usually was impossible unless it was with the same person on the same day. Even if the quote was located, the sales person would then have to re-key the entire order into the business system.

OrderSavant solved these problems by allowing my staff access to everyone else's quotes. It also facilitated the quotation process by pulling the price and availability from our Array system. In addition, we could now search for any part of the part number with or without caps locked which made locating items much faster. The system also allows us to set reminders for quotes which encouraged proactive follow up. This is something that we had always encouraged from a management level but never really provided the necessary tool until OrderSavant. The system also allows us to send a quote to another co-worker if you were not going to be in, needed to have someone purchase something, or just wanted to keep an outside salesperson informed on account activity. The system can automatically require some users to enter a lost order reason for quotes that do not get converted to an order which helps us understand how to increase our quote to order ratio.

In addition to their application for our staff, we also opted to implement their Internet customer web site. This gives our customers a way to look up pricing, check our stock, build quotes, approve quotes, and follow the status of their order. We have some accounts where we must provide a way to check price/avail and submit orders online just to be a valid vendor. We are currently implementing a document management system that Savance supports that will allow our customers to review proof of deliveries as well.

After working with Savance for a couple of months, we recognized their vast experience and knowledge of networks and computer systems. In addition, they really understood the electrical distribution industry. We convinced them to provide us a quotation for IT services. They have done an exceptional job of executing their technology plan which they put together for us. Over the course of a couple of years, they have supported our client computers, upgraded our server to Windows Server 2003 and Exchange 2003, implemented wireless network connectivity, rolled out a hand-held solution, and provided remote e-mail access and VPN connectivity. Their service is second to none.

We have received great feedback from staff and our customers on our new professional quotes, improved response times, and our state-of-the-art online system. Above everything else that Savance has done for us, we are most impressed with their approach to business as a partner rather than a vendor/customer. Our door is always open to their visits and our staff members treat them as fellow employees. They have been invited to our company outings and our office gatherings. They have even voluntarily helped us conduct our physical inventory count. It is this team effort to business that really makes Savance stand out as one of our favorite vendors. I would recommend them as a vendor and whole-heartedly recommend their product to anyone in the distribution industry.

Savance Satisfied Customer I want to start by saying that Savance is one of those rare vendors that ALWAYS go above and beyond the call of duty. They initially came out to show us their system that worked with an existing business system, but we were still on paper forms and using the Trade Service books. I knew we had to make a change to stay competitive but change is a difficult concept when you have been doing business the same way for so long. Savance put a plan together for us to slowly move us into the 21st century.

Savance first had to put some infrastructure in place to support their system. We had one computer that managed accounts payable/receivable and one computer that managed an Excel file with our costs. The computers were completely independent. Savance purchased and set up a server, computers, wireless, printers, bar code printers, hand-helds, e-mail, external connectivity (over the Internet), and a website. They configured and set up the entire network and all the hardware. This one vendor approach made it easier for us than having to have someone put in the computers and someone else put in our new business system. After the network was installed, it was time to start on the business system roll out plan.

The plan started with helping us organize our inventory. By starting with a bar coded warehouse, they told us that we were going to run before we could even walk but that the payoff was worth it. We sectioned the warehouse and labeled the shelves and bins with bar codes. Every part was inventoried and bar codes were generated. Their help in this process was paramount. We were able to start with all the items from Material Express and use a hand-held to bring those items in our warehouse into our local inventory file. We were able to directly enter reorder points and the location was automatically load based on the most recently scanned location tag. This expedited the inventory process significantly. I would have expected us to have to manually create a list of the items, look up all the prices, and data enter the items into their system. In addition, they provided resources to assist in this process which meant that my business could continue as normal without feeling the strain of implementing a new business system.

The next step involved loading our pricing from manufacturer disks. Savance's program has a nice tool that made this process completely automated. Even for future updates, the column matching and importing is a matter of minutes. The most significant learning curve we had during this process was determining which lines to load, how to effectively organize the manufacturer disks and updates, and how to track incorrectly loaded prices (which Savance's program provides a way to see the complete audit trail of any change to pricing – this was a big help).

Finally, we began using the system, which the staff immediately loved. Just being able to pull up items and instantly see our cost and provide the customer with accurate pricing was a significant milestone. Now, we can scan any item with a mobile hand-held to build an order or check a price. We can also cash people out just by scanning the items – a significant time savings. In addition, we can now more effectively combine our purchasing efforts by simply clicking on their critical purchasing and choosing the vendors that we need to purchase.

The system has paid for itself in our efficiency increase alone. We have uncovered pricing issues, exposed purchasing problems (due to minimum penalties and over buying), and finally knew exactly what was in our warehouse. We are now able to do what some distributors have only dreamed of doing. We have gone from paper forms to wireless hand-helds that allow us to do almost anything.

The Savance staff always went above and beyond to make sure this project was successful. They were attentive to our needs, adapted the solution to our process, and against their best interests, went at our pace. Some of our staff went from never using a computer to scanning items, printing labels, and e-mailing orders. Savance's thorough training and patience was the key to this transition. Savance Satisfied Customer Prior to installing EIOBoard, we had been using a variety of public instant messaging applications. But with the large number of worms, Trojan horses, and viruses that are spread by public IM systems and our mandate to keep student information confidential we needed a secure, private solution. We also had previously developed a simple in & out board application in house to try to keep track of our 76 staff members.

We identified the need for a better in/out board and IM solution and hoped to find them both consolidated in one package. After more than six months of research and testing, nothing else we looked at was as good a fit for our needs as EIOBoard. Our management was especially impressed with the ability to request custom features for an extremely modest cost.

One of the best features has been the support. They are extremely knowledgeable, are always right on top of our requests, and are great about responding in a very timely manner.  It is one of the few tech support experiences I don't dread.

We have received a lot of positive feedback on the new system from our users.  Other departments within the university have now started looking at what we use and we are happy to tell them how pleased we have been with EIOBoard.

We have been using the EIO In/Out Board for our staff for nearly a year now. We use the local software as opposed to the web-based version in our workplace so we can take advantage of the extra features. The product has performed well for us and has allowed us a much more reliable way to keep track of employees in multiple buildings and locations. Our receptionists are very pleased as they can check on the status of everyone right from their desk. We had good buy-in from our staff in getting them to use the board consistently. We have been told that it is much easier than the old "move the dot" method at the front door. Our clerical staff is great about offering to change status for anyone who forgot if they call or notify them. They do this cheerfully and without complaint to encourage people to let them know where they are. I think this has helped a great deal as well.

In addition to the Receptionists, our employees like the ability to find out if someone if "in" before walking over or calling. It saves them time and energy.

Our employees who have similar functions at difference locations (bookkeeping, accounts payable, payroll, etc.) use the chat function frequently to ask questions and stay consistent in their processes. We have also found it a wonderful way to boost morale as some employees use it to say good morning (or Happy Birthday) to colleagues they are friends with, etc. We have had a few employees request disabling of the chat function as it did not fit with their work (or personality) style, and we have honored those few requests.

We also like the ability to "group" employees. Managers can have a tab where they can check on the status and location of only the employees that report to them so they can see "at a glance" where all of their staff are. This has come in very handy with our multiple building situations as well. Since some of our employees occasionally work at home, it is also beneficial to allow them access to the In/Out board so they can let folks know when they are actually working and available for calls, etc.

We are now looking into working with the staff at EIOBoard to use the system as a timekeeping system. We have not implemented that yet, but look forward to the possibilities.

As wonderful as the product is, I would say that my biggest kudos goes to the staff at EIOBoard. They have answered our questions promptly, helped us work though implementation and been in touch with us about how the product was working. We are pleased with the service and communication we have received from them. They are nice, friendly folks, as well.
